Company Coordinator Post

To realise our vision Movema is seeking an experienced and enthusiastic Company Coordinator to support the administrative processes and to manage the Company’s office, team and bookings. Negotiating deals and contracts, developing and assisting with strategic policy for the furtherance of the company.

The Part-Time (28 hours per week) Company Coordinator will need to be highly organised, with knowledge and experience of efficient office systems and ability to work individually and as part of a team.

Main Roles and Responsibilities

Area Main Responsibilities
Office 
  • Manage phone and email enquiries.
  • Being the first point of contact for enquiries in the office and at certain events.
  • Coordinating staff meetings and training together with co-directors
Bookings/ sales 
  • Book and manage the Company’s services: performance, educational workshops and resources
  • Liaise with clients and artists, produce quotes and contracts and update the booking systems.
Finance 
  • Work alongside Finance officer to ensure prompt payment and feedback.
  • Manage petty cash, expenses, banking and financial data entry.
Marketing 
  • Update databases of client information for e-Marketing and Audience Development uses.
  • Updating promotion around Movema’s studio base.
  • Liaise with new and existing clients to promote Movema’s services.
  • Write and distribute Press Releases.
  • Organise effective distribution of print.
  • Update our Social Media profiles
Office Duties 
  • Filing and arranging paper and electronic documents.
  • Creating, updating and utilising systems for excellent organisation.
  • Ordering supplies.
  • Hygiene maintenance.
Volunteer Coordination
  • Work alongside Movema Directors to coordinate our pool of volunteers

 

General Management
  • Reporting to line managers and senior management.
  • Communications, liaising with partners and staff.
Human Resources
  • Recruitment and induction of delivering dance artists.
  • Recruitment and induction of volunteers.
  • Organising training in child protection.
  • Staff review and appraisal.
Implementation
  • Overseeing the delivery of the project.
  • Coordinating and managing events as part of the project.
  • Promotion of the project through partners, marketing materials, online and press.
Evaluation
  • Scheduling evaluation in line with company’s balance score card framework, in partnership with specialists such as IMPACT.
  • Overseeing and managing the collection of relevant data.
  • Evaluating data.
  • Disseminating results.

Person Specification

 Skills and Experience

Essential

  1. Excellent administrative skills with at least 3 years experience within the field of administration.
  2. Experience managing projects within the arts sector.
  3. Experience of managing a team.
  4. Excellent coordination skills with at least 2 years experience within the field of project management.
  5. Strong time management and organisational skills
  6. Outstanding communication skills, working with a wide range of different people
  7. Experience with dealing with people on phone and via email
  8. Excellent written and verbal communication skills
  9. A commitment to Equal Opportunities and diversity in the workplace
  10. Experience working with Microsoft Word, Excel and Outlook
  11. Must be willing to work on Mac computer and develop skills quickly to fulfil role.

 Desirable

  1. Experience in managing bookings
  2. Sales experience
  3. Recent Health and Safety and Safeguarding Training

Terms and Conditions

Salary: £18,600 pro rata.

Based on a notional 28 hours per week.

Hours: Between 9am – 6pm,

Flexible working.

Weekly hours to be arranged. Occasional evening work may be required.

Start date: 23rd March 2015

Holidays: Based on 28 days pro rata

 Notice period: 1 month

Contract Period: 6 month basis with review to extend after probationary period.
